Administration

Set up your organisation, grant permissions, look after modules and interfaces and help colleagues get started

You have the artwork admin role or the settings permissions of individual areas. You always see everything – which is exactly why it pays to look through the eyes of a role without admin rights.

The first tasks

Go through the setup – module by module, the essentials first. Setup for administrators · Setting up the duty roster · Setting up the project view

Create permission presets or review the role presets, and use a test person without the admin role to check what they see. Role presets and permission presets

Invite users – with role, teams and work profile, so they can start working straight away. Accounts & invitations

Hide modules your organisation does not use, and check the file rules. Module visibility

Test the mail setup and get to know Notification to all for organisation-wide information. Mail

After every update, read the changelog and inform the affected roles; notes for admins are listed there separately.

Settings that help you

  • The How does this area work? banners on every settings page; they name dependencies between areas.
  • The Permissions explained page (in user management) as a printable reference of all permissions for training.
  • Copy permissions 1:1 from another person when no role preset fits.
  • The Change history of each person's permissions when questions come up.
  • Set the season window deliberately at the change of season – it drives BI and key figures.

Permissions you need

The artwork admin role includes all permissions. For specialist administrators without full access, there are settings permissions per area (Event settings, Calendar settings, Room administration, Shift settings, Project settings, Inventory settings, Manage CRM, Tool settings, HR administration …) – see System settings and interfaces.

What you do not see as an admin

Personal display settings, saved filters and notification preferences belong to each person. If someone "sees nothing", first check permissions and module visibility, then filters, period and Hide empty rooms in the view in question – the display settings are the most common cause.
