Recycle bin
Restore deleted items or remove them permanently after careful review
The Recycle bin is the safety stage between regular deletion and permanent removal. Deleted items generally remain restorable for about 30 days and are then removed automatically. Do not wait until the deadline if an item was deleted accidentally.
The Recycle bin menu entry is unlocked by the Open trash permission from the user permissions; Artwork admins always have it. Which tabs you see inside is additionally decided by the module permissions, such as Delete inventory for articles or Manage CRM for CRM contacts.
Permanent deletion cannot be undone
Delete permanently and Delete all remove data immediately. It cannot be restored through Artwork afterwards. Check the name, category and dependencies and confirm only the exact item intended.
Recycle-bin categories

Use the tabs to move between available object types:
| Tab | Examples |
|---|---|
| Projects | Deleted regular projects and project groups |
| Areas | Room/building areas and their assignments |
| Rooms | Permanent and, where applicable, temporary rooms |
| Events | Deleted calendar events with period, type and project context, individually or as a whole series |
| Shifts | Deleted shifts with Deleted on, commit status and the number of assigned people. Visible with the recycle-bin permission plus Plan shifts (own crafts only) or as an admin |
| Project settings | Genres, categories, sectors, project statuses, contract types, legal forms and currencies |
| Articles | Inventory articles including category and quantities (permission Delete inventory) |
| Budget | Deleted budget tables and budget templates |
| CRM contacts | Deleted CRM contacts and contacts merged away as duplicates, with contact type and deletion date (permission Manage CRM) |
Depending on enabled features and your permissions, Sage API data sets, Accounts and Cost units may also appear. A missing tab does not necessarily mean no deleted items exist; you may not have permission for that area.
Searching and navigating
Many tabs provide a search. It filters on the server and resets the list to the first page. Use the X beside the search field to clear it. Larger lists are split across pages.
Project rows can show their name, shares and recent change information. Events show the period, event type and previous project; events from a recurrence are marked Part of a series. Articles include category, total quantity and individual stock units when detailed quantities are used. CRM contacts show the contact type and Deleted on.
Restoring an item
Restoring returns the object to its former area. Whether every relationship is immediately usable depends on whether linked objects still exist. If an associated room or master-data category was permanently deleted, follow-up work may be required.
Restoring event series
Nothing is permanently removed any more when deleting recurring events: whether you delete “Only this event”, “This and following”, or “Whole series”, all affected events land in the Events tab. There, an event that belongs to a series offers Restore series in addition to Restore. This brings every event of that series back from the recycle bin; no date is created twice. How series are created and edited is described under Editing series.
When you restore an event, only the shifts that were deleted together with it come back; they are checked against the working-time rules again.
Restoring shifts
Coming with the next updateThe Shifts tab shows date, time, craft, room, Deleted on, whether the shift was Committed and how many assigned people are restored with it for each row. A shift whose room is itself in the recycle bin is locked with room in recycle bin: restore the room first. After Restore the shift and its people are back in the duty roster, and the rule check runs for it again.
Restoring CRM contacts
In the CRM contacts tab you restore deleted contacts or delete them permanently. Contacts that were merged away when merging duplicates are also listed here. After restoring, check the contact's project links, because they were transferred to the main contact during the merge.
Permanently deleting one or all items
Delete permanently removes one row. The red recycle-bin icon at the top of a tab offers Delete all for the entire current category. Both actions ask for confirmation.
Search does not necessarily limit Delete all to the currently visible results. Always treat it as deletion of the entire recycle-bin category and use it only after a complete review.
When a project is permanently deleted, its events in the recycle bin, its files and its budget table disappear with it.
Master-data considerations
Project settings combines several kinds of entries. The type label tells you whether an item is, for example, a project category, project status, contract type or currency. Check this type before restoring or deleting it.
Restoring makes a master-data option selectable again. Permanently deleting it can make historical assignments and evaluations harder to understand. Coordinate such deletions with people responsible for projects, contracts and budgets.
Retention period
A nightly run permanently removes entries that have been in the recycle bin for more than 30 days. This applies to all tabs: shifts, events, projects, rooms, areas, articles, CRM contacts, Sage data sets, accounts, cost centers, budget templates and the project master data. Two exceptions prevent knock-on damage: projects that still contain events, and rooms that still contain events or shifts, are skipped until these dependencies are resolved. Because the run takes place once a night, an item does not disappear at the exact minute of its thirtieth day. Never rely on that remaining time for a necessary recovery.
The recycle bin is not an archive
Do not deliberately retain data in the recycle bin. Records that must be kept belong in their designated feature area or an approved document archive. The recycle bin exists solely for short-term recovery from mistakes.
