Material sets

Prepare recurring article collections and use them in material issues

Under System → Inventory in the Material sets tab, you manage reusable collections of inventory articles. The tab is visible to people with the Create & edit sets or Inventory settings permission; creating, changing, and deleting sets always requires the set permissions (see Permissions).

Create a set

A material set stores a name, optional description, and articles with standard quantities—for example “small press conference”, “DJ setup”, or “mobile workshop”.

In the Material sets tab, click New Material Set.
Enter a clear name and a useful description.
Find articles by searching for article or (sub)category or by narrowing with the inventory filter, then use Add to set.
Adjust each standard quantity and review the selection.
Save and test the set in a sample material issue.

The filter in the set dialog is the same as in the inventory overview: it is fed by the properties marked as filterable and by the tags.

Use a set

When inserted into a material issue, articles and quantities become a starting point. If the issue already contains articles of the set, Artwork asks with Add quantities whether the set quantities should be added to the existing ones; articles not yet included are added in both cases.

Period, availability, project, and recipient are defined in the concrete issue. Adjust quantities there when the individual case differs from the standard.

A set is therefore neither a reservation nor a stock change. Stock is only occupied for a period by the saved material issue.

Edit or delete a set

Update a set when the usual equipment changes permanently. Existing material issues are not changed retroactively. If an article is deleted from the inventory, Artwork also removes it from every set. Before deleting a set, clarify whether teams still rely on it as a standard; the action cannot be undone.

Set, basket, or copy?

ToolBest for
Material setRecurring standard equipment across many issues
Product basketOne-off personal selection directly from the catalog
Copy issueReusing one specific earlier issue as a starting point

Use clear names and keep the number of sets manageable. Several nearly identical names make selecting the wrong standard more likely.
